Job Description / Skills Required
The Travel coordinator reports directly to the Global Travel Manager and Works in conjunction with the travel global team and employee-center (e-center) to ensure global trip execution and travel related support. They will also work with the following functions:
Accounting to ensure accurate, complete, and timely processing of travel invoices as well as supporting employee expense reports’ issues
IT/IS – to ensure any technical, travel related issues will be addressed in a benefit of travelers
Legal department to complete and timely processing of travel agreements
HR – to ensure policy alignments and relocation support
The main responsibility of the Travel Coordinator is to audit (approve/reject) coordinate and execute the travel plans and arrangements smoothly, within Policy and budget.
Audit all incoming travel requests according to Travel and expense Policy
Reduce travel spend by managing business contacts with airline, hotels and rental cars representatives, etc. ticket prices, managing business terms and agreements
Act to ensure safe and efficient travel operations, in accordance with organizational policies and guidelines
Research, negotiate, and secure rates with airlines, car rental companies, and hotels
Serve as a general resource of knowledge and point of contact for travel-related issues for Mellanox employees, visitors; assist employees with travel-related issues or concerns
Review and ensure all contracts
Perform special projects and assignments as directed, specifically yearly Sales Conference event flights, transportation and other aspects if required
Present travel guides and policies, data analysis and recommendations
Manage payments/approving invoices and maintaining all travel related records and documents
2+ years of experience in corporate travel or a related field is required
Concur knowledge – is preferred
BI and/or Cognos analytic tools’ experience is preferred
Ability to work independently but also to be a part of a team
Well-organized, able to multitask and prioritize with attention to details
Positive attitude, patience and persistence
Expert-level experience in Microsoft Excel, Word, PowerPoint, Outlook and on-line travel related search
Excellent communication (written, verbal and oral) as well as organizational, management and negotiation skills
Willingness to be flexible if needed during off-hours for cross-coverage and/or issues resolution
Ability to train new employees on the Mellanox Applications/Tools (Concur and/or other tools) as needed
Out-of-box thinking and emergency/crisis management (as needed – global threats, etc)
Education and Qualifications
Bachelor’s degree required with travel, tourism or hospitality degree preferred
