Job Description / Skills Required

Reporting to the Country Manager, this role is key to the smooth running of the offices on a daily basis.

You are the go to person for the local, leadership and remote teams whilst also being the Groupon brand ambassador to all visitors.

As a key person in the business you will manage the day to day office including ordering of supplies, mail co-ordination, meeting organization and general office presentation.

You are also the creative behind the fun the culture!

You will provide not only Office Support but Executive Support to our Leadership team as well. The role will see you coordinating diaries and booking travel for the Japan & APAC leadership team when required.

Responsibilities (included but not limited to)

Office Management

General office admin duties including ordering stationery for all offices and managing mail
Managing company building access cards and any building related issues with the building manager
Creating events where needed – topical, quirky, fun, engaging
Working to a budget for all social initiatives
Deal with confidential and sensitive business information
Meeting and greeting of visitors, answering the phone etc., and being a positive brand ambassador for Groupon at all times
Executive Support

Act as an assistant to the Country Manager in varied tasks, including calendar and meetings management
Management of senior staff meetings, booking meeting rooms and catering where required
Booking travel and accommodation arrangements for staff across Japan & APAC Region
To be successful in this role, you will possess the following skills and attributes:

Previous experience as an Office Manager / Executive Assistant
Fluent in both English & Japanese languages
Strong organizational skills, including time management and prioritization
Strong MS Word skills, including Outlook / Word / Excel and PowerPoint
Enthusiastic and flexible attitude
