The Proposal Support Manager is a pivotal member of Espresa's go-to-market team, responsible for implementing and executing the company's strategy for Requests forProposals (RFPs), Requests for Information (RFIs), and proposals. This role is essential in propelling the company forward and accelerating our growth velocity. This manager will oversee the management of our centralized proposal database, Loopio, to enhance the efficiency of content reuse and the exchange of knowledge within the team. Additionally, this manager leads the charge in crafting, overseeing, and delivering comprehensive, high-caliber proposal responses to prospective clients, consultants, and partners, ensuring Espresa's competitive edge in the market.

The role

  • Develop and enforce standardized proposal development procedures to enhance efficiency, including schedule creation and tracking mechanisms. 
  • Define Service Level Agreements (SLAs) for the Proposal Team to guarantee deadline compliance and prevent team fatigue. 
  • Formulate and execute proposal strategies in line with organizational objectives, emphasizing unique value propositions, key themes, and competitive differentiators. 
  • Lead the initiation and coordination of RFP strategy sessions with sales teams, product experts, leadership, and internal specialists to ensure unified objectives. 
  • Collaborate closely with sales and business development to customize proposals based on client specifications and preferences. 
  • Work with subject matter experts to compile essential technical and business details, crafting compelling, compliant proposal documents. 
  • Oversee and optimize the use of Loopio, a central proposal database, to facilitate effective content management and team collaboration. 
  • Proactively identify and address risks in the proposal process, creating contingency plans to maintain submission quality and punctuality. 
  • Collaborate with Business Development Ops to develop tracking and monitor Proposal response operations and outcomes more effectively.

What you bring 

  • Industry knowledge and experience working on benefits-related proposals and RFPs from large employer accounts, consultants, and platform partners. 
  • Ability to convey ideas, expectations, and information effectively and clearly. 
  • Exceptional storytelling ability to craft narratives that resonate with diverse audiences. 
  • Capable of operating independently as a self-starter, adept at prioritizing and managing multiple tasks within tight deadlines. 
  • Capability to work under pressure and manage multiple projects simultaneously. 
  • Familiarity with various proposal response platforms (e.g., ProposalTec, Ariba) and their unique requirements and navigation. 
  • Innovative thinking to approach problems with creative solutions. 
  • Agility to adapt to new technologies and industry trends swiftly. 

The must-haves 

  • 10+ years of proposal management experience. Experience in the employer SAAS, benefits and/or HR technology industry is preferred  

Nice to haves 

  • Association of Proposal Management Professionals (APMP) certification 
  • Loopio experience 
  • SalesForce CRM experience 
  • Start-up experience
